How this is estimated. This is a general model, not advice, and every organisation differs. Admin time is valued at $40/hour - roughly a SCHADS Level 3 coordinator base rate plus on-costs (super, leave, overheads). We assume: manual rostering ≈ 6 min of admin per shift (basic app ≈ 2.5 min; paper ≈ 8 min); progress notes ≈ 5 min per shift chasing, transcribing and reworking when captured on paper/WhatsApp (generic app ≈ 2 min; no consistent method ≈ 6 min, plus audit risk); manual SCHADS pay ≈ 3 min of payroll admin per shift and a 2% payroll error rate on wages (payroll person ≈ 2 min and 1%; award-interpreting software ≈ 0.3 min and near-zero error); manual NDIS invoicing ≈ 3.5 min per shift plus ~2% billing leakage on claimable revenue (semi-automated ≈ 1.5 min and 1%; automated ≈ 0.3 min and ~0.2%). Billable revenue is estimated at a blended $70/billable-hour with a typical shift length used only to size leakage.
